So Cal AudioFest?

No date preference here, Pete.
The venue that I'm looking at is a Lakewood City community center near the 605 freeway and Carson street/ Lincoln ave. It's a good size rectangular room with a separate kitchen area. They get about $60 per hour to rent it. I'm thinking we would need about 5 to 6 hours.
They provide tables and chairs and will set them up as directed. We would need to provide any table coverings or any other decorations. The down side is it's in a park and some distance from the parking. That means transporting stuff across a long sidewalk. I have a kids wooden wagon that I use to move heave gear. Having a second wagons of some sort would be good. We will also need extension cords and power strips because there won't be outlets by each table.
I'll get a hold of them this week and lock it in for Saturday October 10th or 17th with second choice Sunday October 11th or 18th. @EddieE, there shouldn't be too much to do leading up to the event but there will be a lot to do the morning of the event.
Lets put this together.

-Gorilla Kart ( not strong enough for VOTTs)
-2 grounded extension cords

- i can bring tarps for loaded carts if raining.
Do you know if the room is carpeted and or fiber panel drop ceiling for sound dampening ?

Cool, that will all help. If I remember correctly, it's a tile floor. I don't remember the ceiling but it's probably fiber drop panels.
@Route 66, it's an opportunity to show off your audio equipment and to put actual faces with screen names. AK members will bring a lot of cool audio gear to demo, and good conversation.

I brought a McIntosh C36, MC2500 and a tube tester to the get-together hosted by @BirdOnAWire. That MC2500 was pretty back breaking in the 2019 event, I don't think I'll do that again!
OK, it's a done deal. We have the Bloomfield Park Activity Center booked for Sunday October 11th 2026. We get access to it at 10AM and have to be out, out, out by 4PM. I asked for 12 rectangular tables and chairs. There are a number of fees involved in addition to the hourly rental plus, I have to arrange for insurance. They have given me the names of a couple of agencies that do this insurance.
So mark the date: SUNDAY OCTOBER 11th 2026!

It sounds like you are paying all required costs up front. Then divide total by 10, people.
What is your preference for participants to pay you and by when ?
And something else down the road.
I like to eat so maybe a potluck each person brings something from a suggestion list.
Or should it be BYO food, snacks, and drinks ? Can be decided later.

I paid for everything except the insurance up front. I still have to look into the insurance. I'll put out a donation jar at the event. There are rules and they are holding a large deposit to enforce them. No alcohol, no smoking of any kind. Bringing food is OK. The kitchen has a fridge and counter space but on-site cooking with a BBQ or gas hot plate is not permitted. There is an In-N-Out burger and a large drive-through mall (Long Beach Town Center) nearby.
